Position Overview
Inaugurated in the Fall of 2001, Macaulay Honors College is dedicated to providing outstanding educational opportunities for academically gifted students from the five boroughs of New York City and beyond.  The Macaulay program includes generous financial support for students who are designated “University Scholars” upon admission.  In addition, the Honors College offers its students unique interdisciplinary seminars focusing on New York City, training in instructional technology, dedicated mentors and advisors, internships, study abroad experiences, and a Cultural Passport that provides entrée to the vast cultural resources of New York City.  Macaulay operates in partnership with seven CUNY campuses: Baruch, Brooklyn, City, Hunter, Lehman, Queens, and Staten Island.  Currently, the Honors College has approximately 1,300 University Scholars enrolled on all seven campuses.

Reporting to the Director of Programs, Events and Partnerships, the Coordinator of Alumni Relations will manage the Macaulay Honors Alumni Network, as well as other activities and projects related to fundraising, program development, and communications for the entire Honors College. Through developing relationships with alumni, staff and other constituents, the Coordinator plans and implements a calendar of targeted activities, primarily in the New York area, that will appeal to the College's varied alumni population, ranging from the annual Reunion event to 12-person dinners to Macaulay signature events.

Responsibilities:
The duties of the Coordinator of Alumni Relations will include, but are not limited to, the following:

  • Act as Alumni Relations liaison to specific alumni groups, including affinity groups and working alumni committees
  • Provide content updates to maintain a dynamic alumni website and newsletter
  • Effectively manage vendors and volunteers to meet goals
  • Represent the Director and the Office of Alumni Relations at Macaulay, CUNY and other events
  • Support the Director to ensure accurate and complete alumni database records, which includes capturing contact, biographical and career information of alumni via surveys, projects (e.g. alumni directory), correspondence, website, postal returns, etc.
  • Partner with Director of Enrollment Management to spearhead alumni involvement in the admissions process; partner with the Student Life Manager to plan the growth and accessibility of career networking services for students and alumni
  • Collaborate closely with development colleagues in increasing support from alumni; routinely identify and qualify alumni prospects for gifts; communicate development-related activities via written contact reports filed in Raiser's Edge and periodic attendance at prospect management meetings
  • Work with the Director to research and effectively utilize digital social networking trends to maximize alumni awareness and participation
  • Support the Director in overseeing and balancing the budget for Alumni Relations
  • Assist the Director in the planning and implementation of the annual Reunion Weekend. This includes developing the weekend schedule; managing the venue selection process; securing faculty and alumni speakers; coordinating the weekend's internal and external marketing; creating content for the Reunion website; drafting class committee communications; leading the Reunion Committee Planning Meetings in partnership with the Director of Development and Alumni Relations; and overseeing registration, logistics, staffing and on-site execution
  • Work with Marketing and Communications on the creation of consistent, professional and attractive promotional materials and invitations (print and online) for reunions and special events
  • Take on additional responsibilities as needed

Qualifications:
A Bachelor's degree plus two to four years of related experience is required. Excellent written, oral and interpersonal communication skills are necessary. The ability to juggle many demands, establish priorities, evaluate materials and render decisions are required, as are strong organizational and management skills. Good judgment and discretion with people and situations, and the ability to handle on-site problem solving are necessary. The successful candidate must have strong teamwork and leadership skills and participate as an enthusiastic collaborator and strategic brand representative when working with other members of Macaulay Honors College and the University at large. Preferred skills include knowledge of Raiser's Edge or a similar constituent database; and experience with online social media and use of digital technology for networking purposes. The successful candidate must be willing to travel and be available to work some evenings and weekends as needed.
