Inaugurated in the Fall of 2001, Macaulay Honors College (MHC) is dedicated to providing outstanding educational opportunities for academically gifted students from the five boroughs of New York City and beyond.  Macaulay Honors College program includes generous financial support for students who are designated "University Scholars" upon admission.  In addition, MHC offers its students unique interdisciplinary seminars focusing on New York City, access to instructional technology, dedicated mentors and advisors, internships, study abroad experiences and a Cultural Passport that provides entrée to the vast cultural resources of New York City.  Macaulay Honors College operates in consortium on seven CUNY campuses: Baruch College, Brooklyn College, The City College of New York, Hunter College, Lehman College, Queens College, and the College of Staten Island.  Currently, MHC has approximately 1,200 University Scholars enrolled on all seven campuses.

Reporting to the Director of Programs, Events, and Partnerships, the Special Events Specialist will support and coordinate events that range from open houses to student-run fashion shows.

Responsibilities:
The duties will include, but are not limited to, the following:

  • Plans, organizes, and executes over 40 events during the academic year that support the efforts of Student Affairs, Enrollment, and Advancement.
  • Provide event support under the direction of the Director of Programs and Events for the annual Chancellor’s Welcoming Event, orientation and graduation.
  • Serve on planning committees to contribute creative ideas for new events and programs.
  • Work in coordination with the Director of Communications on marketing events.
  • Contract with keynote speakers, workshop presenters, caterers, A/V specialists and other vendors in a timely manner.
  • Provide effective on-the-spot solutions during events.
  • Facilitate the securing of appropriate venues for programs and events, including negotiation of contracts and researching competitive bids.
  • Effectively manage all budget and finance correspondence, accounts, contracts, and billing for special events; generate budget and expenditure reports.
  • Handle all requests for space by off-campus groups and coordinate events for private and non-profit groups co-hosted by the University.
  • Evaluate events upon completion and generate a debriefing report to inform future planning.
  • Perform additional administrative duties as necessary

Qualifications:

Bachelor's Degree and four years' relevant experience required.

The successful candidate must be highly motivated and able to work independently under tight deadlines. Initiative, flexibility, and resourcefulness are necessary for this position. Creativity and high energy are a plus while accuracy, attention to detail, and tact are required. Must have knowledge and experience with the core tasks required for special events execution and experience with budget and finance issues within a large public institution. Proficiency in Microsoft Office Suite; excellent communications and interpersonal skills are vital.  Two years of special events experience strongly preferred.  Evening and weekend work required and travel within and outside New York City as needed.
